Digital evidence chain of custody across teams

Digital evidence chain of custody documents the handling and succession of evidence. A useful handoff preserves the exact subject, the original evidence, the recorded actors and events, and the basis for each claimed transition. Receiz carries sealed originals and supported verified history beyond the system that displays them.

WHY IT MATTERS

Let the receiving team continue its review from the existing evidence instead of reconstructing the handoff.

One team collects permitted inspection evidence and another team reviews it. The receiver needs the original files, the scope of the handoff and the recorded history. Possession of an emailed copy alone does not establish every custody or ownership claim.

    Identify the exact evidence subject

    Record the evidence reference, source files and collection context. Distinguish the physical item from photographs, statements and derived reports about it. Preserve complete proof objects for the records already sealed.

    Inspect the claimed history

    Review recorded actors, event sequence, authority and supporting evidence using the applicable Receiz custody or history surface. Identify gaps explicitly. Do not infer an authorized custody transfer from a copied link or QR tag.

    Define the handoff scope

    Choose the records the recipient is permitted to receive. Include the originals necessary to inspect the claimed history. Keep private or unrelated material outside the transfer using the supported workflow and your actual information controls.

    Verify at the receiving end

    Have the recipient independently verify the complete originals and inspect their supported history. Keep acceptance, exceptions and unresolved questions with the review record. An optional server index helps locate objects; it is not the authority over their sealed proof.

What the evidence establishes.

Recorded custody, ownership, and physical possession are distinct. Use the implemented custody workflow appropriate to the object. The AssetSeal console’s owner recording and package verification do not by themselves implement every third-party delegation or cross-owner transfer workflow.

Questions before you start.

Does a QR scan establish custody?

No. The tag identifies or opens a reference. Custody must be established through the applicable authorized record and proof, not the ability to copy or scan the tag.

Can another team verify without our database?

A recipient holding the complete Receiz proof objects and required verifier resources can verify supported proof independently, including offline. They still need the evidence necessary for the specific claim.

What should a handoff checklist record?

Record the subject, files delivered, claimed history, disclosure scope, responsible participants, verification findings and any exceptions. Keep interpretations distinguishable from original evidence.
